Logistics & Fleet Assistant: JF Kapnek Deadline: 3 September 2019 Reports to: Admin Manager JF Kapnek a registered PVO which has been operating in Zimbabwe since 1986 whose mission is to improve family health, reduce child mortality and create educational opportunities for the children of Zimbabwe through the implementation of scalable, sustainable programs, is seeking to fill the above vacancy in anticipation of funding. Objectives for the position Fleet; Assets and Equipment Follow Up Support the allocation and the use of the equipment in accordance with Admin procedures, program needs and close out plan; Monitor the maintenance and repairing of the equipment in accordance Admin procedures with the close out plan in mind; Update the equipment list and the general asset register and feed into the assert/equipment disposal plan; Work with assert holders and ensure continuous updating of asserts and inventory list, assert tagging and safeguarding to satisfy organization and Donor requirements; Support the monitoring of the fleet management (control: planning of the fleet, maintenance, cost follow-up,) with the Chief Drivers; Monitor the equipment allocation and organize the maintenance and repairing to be done with the Chief Drivers; Anticipate the maintenance to be done on the fleet; generators and other equipment; Monitor the cost expenditure for the fleet and equipment in liaison with the finance department; Produce at the end of each month the vehicle costs Report; Collect necessary information through transport request to assess the transportation needs. Information Technology Management Working with the ICT Graduate Intern, Analyse the requirements of the organisation’s IT needs and present a plan of action to achieve it; Monitor Data backups and train users on proper data management; Put systems in place for professional data sharing; Put security measure and controls in place for internet access; Ensure all JF Kapnek information is well secured and kept in safe place; Supervise the IT Intern and support him/her to build for the future. Reporting Collect and analyse the monthly logistics reports, cost of vehicles and activity reports; Prepare and submit all the reports to the Admin Manager on activities undertaken and recommendations thereof. Support the Supervision of the team Ensure proper coordination of his/her work with the Admin & Procurement Assistant; Supervise the Chief Driver and Assistant
Requirements Diploma or Higher in IT, Purchasing & Supply, Logistics & Transport Management; CIPS, CILT in Procurement and Supply; At least two years’ experience at a similar level; Good technical knowledge of vehicle management tools, systems and methods; A good basic understanding of IT systems and procedures; Excellent planning and organisation skills.
